Version Management

The Document Templates are tied to a Version Management Control which ensure that only one version is active at a time. Also it allows to go back to a previous version and reactivate or create a new version from it.

When we refer to Template we mean the template with all of it’s Template Versions. There is no specific object for the templates, as they are a logical entity made from the different versions.

When you first create a Template, it will be the version 0 and the Root Version for the subsequent versions you could create. It’s important that the version 0 should never be deleted from the system if you plan to use that Template.

Version Numbers

The version numbers are automatically increased when you create a new version. The number itself it’s just a way to differentiate the different versions for a given template.

Version Status

The templates have three possible status:

• Draft: when the version has not been activated yet.
• Active: when the version has been activated so it’s the one used by – the system.
• Inactive: when an active version has been manually deactivated or – other version has been activated.

All these statuses are automatically set by the Version Control System when you perform any of the existing actions:

New

When you create a new template, the Template Version will have the status Draft and version 0.

Activate

It will change the status of the current version from Draft / Inactive to Active. Additionally it will Deactivate any other (it should be one or none) active version.

Deactivate

It will deactivate the current version, this is, the status will be change to Inactive. There is no logic associated to the other existing versions.

Save As

When you Save As an existing template it will clone it as it was a completely new Template. This is, version 0 and status Draft. The source version and template will be remain the same.

The version actions can be performed both from the Template Designer or the Document Template record page.
